Litigation Secretary

La Jolla (UTC Area), CA | Full-Time | Hybrid

Salary: $85,000 - $114,321 + Comprehensive Benefits

A premier international Labor & Employment law firm is seeking an experienced and detail-oriented Litigation Secretary to join our San Diego team in the La Jolla/UTC area. This position plays a critical role in supporting attorneys through all phases of state and federal civil litigation while ensuring exceptional client service and operational excellence.

We are seeking a highly organized professional with strong litigation support experience, excellent calendaring and docketing skills, and the flexibility and willingness to learn new systems and processes. Candidates with experience supporting Labor & Employment litigation are highly preferred.

Key Responsibilities

Litigation Support

  • Prepare, format, proofread, and finalize briefs, pleadings, motions, correspondence, discovery, and other legal documents.
  • Create document shells and ensure filings comply with applicable court rules and formatting requirements.
  • Generate and maintain Tables of Contents and Tables of Authorities.
  • Support attorneys throughout the entire litigation lifecycle, from case inception through trial preparation and resolution.
  • Assist with all phases of discovery, including preparation, organization, and filing of discovery-related documents.
  • Maintain accurate and organized client and case files.

Court Filings & Docketing

  • Electronically file documents in California state and federal courts.
  • Manage litigation calendars, court deadlines, hearings, and case milestones.
  • Docket and calendar deadlines in accordance with California and federal court rules.
  • Schedule hearings and coordinate with court personnel as needed.
  • Ensure filings are completed accurately and within required deadlines.

Attorney & Administrative Support

  • Maintain attorney calendars using Outlook and Milana.
  • Coordinate depositions, court reporters, videographers, and related litigation services.
  • Organize travel arrangements and meeting logistics for assigned attorneys.
  • Provide professional and responsive telephone support.
  • Review and process attorney time entries and reimbursement requests.
  • Review vendor invoices and prepare payment requests for accounting.

Qualifications

Required

  • High school diploma or equivalent.
  • Minimum of five years of legal secretary experience supporting litigation practices.
  • Experience with state and federal civil litigation.
  • Strong knowledge of California court rules and procedures.
  • Experience with electronic court filing systems, including PACER and ECF.
  • Proven experience with litigation docketing and calendaring.
  • Advanced proficiency with Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint).
  • Ability to prepare and format complex legal documents, including Tables of Contents and Tables of Authorities.
  • Exceptional proofreading, organizational, and multitasking skills.

Preferred

  • Experience supporting Labor & Employment litigation practices.
  • Familiarity with LexisNexis, Aderant Milana, iManage, NetDocuments, Best Authority, and Concur.
  • College degree.
  • Experience supporting attorneys through all phases of litigation, including discovery and trial preparation.

Schedule & Work Environment

  • Monday through Friday, 8:00 AM - 5:00 PM
  • Hybrid schedule: 2 days in-office / 3 days remote

  • First month of employment will be fully onsite for training and integration
  • Office located in the La Jolla/UTC area of San Diego
